Our Methodology

How Each Engagement Is Structured

Every Gravel Reed engagement begins with a written statement of scope. This document, provided before any session, sets out what the engagement covers, what is excluded, and what the participant will take away at the end. It is not a disclaimer — it is a description.

Within each session, the facilitator works through material in a fixed sequence. The sequence exists because the order matters: each step prepares for the next. Participants may ask questions at any point, and the allotted time is held for the participant rather than the facilitator.

No document belonging to a participant is read, copied, photographed, or assessed at any point. This applies equally to workshops, folder appointments, and consulting visits.

Written scope statement provided before every engagement, without exception.

Engagement One

Paperwork Vocabulary Workshop

A two-hour evening session devoted entirely to language. Administrative documents are full of terms that cause people to stop and wonder — and that uncertainty is often what leaves paperwork unaddressed. The workshop works through a glossary of the words that appear most frequently on retirement-related forms and correspondence.

For each term, the session explains it in plain language and shows where the official published definition can be found. No document brought by a participant is read or discussed by the facilitator. The session uses its own prepared materials throughout.

  • Large-type format of the same glossary
  • List of public bodies issuing retirement-related correspondence
  • Follow-up written questions answered within seven days

Engagement Two

Family Handover Folder

A guided engagement across three appointments, producing a single well-made folder that any family member could open and understand without additional explanation. The appointments follow a sequence: inventory, location notes, contacts sheet, covering letter.

At no point does the facilitator read, copy, or assess the documents you hold. The work is descriptive and organisational. You describe what exists; the facilitator provides the structure to record it clearly. No digital copy is kept unless specifically requested.

What the folder contains at the end:

  • Inventory list of documents held, in your words
  • Location notes for each item
  • Contacts sheet: names and addresses of issuing bodies
  • A short covering letter explaining the folder to its reader

Appointment sequence:

  1. 01 First appointment: document inventory and location notes
  2. 02 Second appointment: contacts sheet and review of inventory
  3. 03 Third appointment: covering letter and final folder assembly

Engagement Three

Records Practice Consulting for Community Bodies

An operational consulting engagement for cooperatives, unions, and welfare associations that hold administrative paperwork on behalf of retiring members. The engagement is strictly limited to internal administrative process and record-keeping practice.

Nothing in the engagement addresses members' entitlements. Questions of that nature are directed to the organisation's own qualified advisers. The work produces a written assessment, a recommended folder taxonomy and retention schedule, and two staff training days, with four quarterly reviews over twelve months.

The three engagements serve different needs. Use the guide below if you are unsure which to enquire about first.

More than one engagement may be appropriate. Many participants attend the vocabulary workshop before or during the folder engagement.

Standards That Apply Regardless of Which You Choose

These standards are non-negotiable across all three engagement types.

No Document Retention

Participant documents are not retained, copied, or photographed at any point during or after any engagement.

Scope in Writing Before You Start

Every engagement begins with a written scope statement. You know what is covered and what is not before any session takes place.

Clear Boundaries on Advice

If a question falls outside general education, the facilitator says so clearly and, where possible, identifies the kind of qualified professional who could assist.

Quarterly Material Reviews

Workshop glossary content and consulting reference materials are reviewed each quarter against current published guidance from EPF, LHDN, and related bodies.

Private Session Rooms

Individual and family sessions are conducted in private rooms at Gravel Reed premises. No other participants have access during your session.

Seven-Day Follow-Up Window

Written follow-up questions arising directly from the session content are answered within seven days at no additional charge.

What Each Engagement Costs

All fees are all-inclusive. There are no additional charges for printed materials, follow-up questions within seven days, or reasonable extensions to session time.

Fees reviewed annually. Current fees effective from January 2025.
